Privacy Policy
How XiMation handles the information you share with us
Effective date: October 2026
XiMation LLC (“XiMation,” “we,” “us”) is a small management consulting business based in Huntsville, Alabama, serving clients remotely nationwide. This policy explains, in plain English, what information we collect when you visit www.ximation.com (the “Site”), contact us, or book a consultation, how we use it, and the choices you have.
The short version: we collect only what we need to talk with you and do the work you ask for. We don’t sell your personal information.
Information we collect
Contact form. When you send a message through the Site, we collect your name, email address, phone number, and message.
Online booking. When you book a consultation through our booking calendar, which runs on Wix Bookings, we collect your name, email address, phone number (required), any message you add, and how you’d like to meet (phone, video, or in person). Wix uses this information to send booking confirmations and reminders by email and, using the phone number you provide, by text message (SMS). When you book, you agree to receive these booking-related notifications. Standard message and data rates may apply.
Email and phone. If you email or call us, we receive whatever you choose to share, such as your name, contact details, and information about your business.
Usage information. Like most websites, the Site automatically collects some technical information when you visit, such as your browser and device type, pages viewed, the site that referred you, approximate location, and the date and time of your visit. This is collected through cookies and similar technologies used by Wix and Google Analytics, described below.
Please don’t send sensitive personal information (such as health, financial account, or government ID details) through the contact form or booking form.
How we use information
We use the information we collect to:
-
Respond to your questions and messages
-
Schedule, confirm, and remind you about consultations
-
Provide and follow up on services you’ve asked for
-
Understand how visitors use the Site so we can improve it
-
Keep the Site secure and prevent spam or misuse
-
Meet legal, tax, and record-keeping obligations
We don’t send marketing newsletters, and we won’t add you to a marketing email list. The Site doesn’t take payments, so we don’t collect payment card information through it.
Who we share information with
We don’t sell your personal information, and we don’t share it with anyone for their own marketing. We share information only in these limited cases:
-
Service providers that run the Site and our business tools on our behalf, including:
-
Wix.com, which hosts the Site and processes contact form submissions and bookings, including booking emails and text reminders. See Wix’s privacy policy at wix.com/about/privacy.
-
Google, which provides Google Analytics (described below) and our Google Business Profile.
-
Our business email and phone providers, which carry the messages you send us.
-
-
Project partners, only with your consent. XiMation works with independent partners such as photographers, videographers, writers, and technical experts. If your project needs one, we’ll share only the information they need for that project, and only after you’ve agreed.
-
Legal reasons. We may disclose information if required by law, or if needed to protect our rights or the safety of others.
-
Business changes. If XiMation is ever sold or reorganized, information may transfer as part of that change, under the same protections described here.
Cookies and Google Analytics
Cookies are small files stored on your device. The Site uses:
-
Wix cookies that are needed for the Site to work, stay secure, and remember basic settings.
-
Google Analytics 4 cookies, which help us understand Site traffic, such as which pages are visited and how people find us. We look at this information in summary form to improve the Site, not to identify individual visitors. You can learn how Google uses this data at policies.google.com/technologies/partner-sites.
You can block or delete cookies in your browser settings, though blocking necessary cookies may affect how the Site works. To stop Google Analytics from collecting data about your visits, install Google’s Analytics Opt-out Browser Add-on at tools.google.com/dlpage/gaoptout.
Some browsers send “Do Not Track” signals. There’s no common standard for responding to them, so the Site doesn’t currently respond to them.
Google Business Profile and social media
XiMation has a Google Business Profile and pages on Facebook, Instagram, and LinkedIn. If you leave a review, send a message, or interact with us on those platforms, that information is handled under Google’s or the social platform’s own privacy policy, and we’ll see what you choose to share with us there. Reviews and comments you post on those platforms may be public.
Links to other websites
The Site links to other websites, such as our social media pages and Google. We aren’t responsible for the privacy practices of other sites, so please read their policies when you visit them.
How long we keep information
We keep contact, booking, and project information as long as we need it to respond to you, provide services, keep reasonable business records, and meet legal, tax, or accounting requirements. After that, we delete it or keep it in a form that no longer identifies you. Google Analytics data is kept according to the retention settings in our Google Analytics account.
How we protect information
We take reasonable steps to protect your information, and we rely on established providers such as Wix and Google. The Site uses an encrypted (HTTPS) connection. No website, email, or storage system is completely secure, so we can’t guarantee absolute security, but we limit what we collect and who can see it.
Your choices and rights
You can:
-
Ask for a copy of the personal information you’ve given us
-
Ask us to correct or delete your information
-
Ask us to stop contacting you, including booking text reminders
-
Opt out of Google Analytics using Google’s browser add-on, or manage cookies in your browser
To make a request, email johnwilliams@ximation.com. We’ll respond within a reasonable time and may need to confirm your identity first. We may keep some information if we’re required to by law or need it for legitimate business records. Depending on where you live, you may have additional rights under the law that applies to you.
Children’s privacy
The Site is meant for businesses and adults. It isn’t directed to children under 13, and we don’t knowingly collect personal information from children under 13. If you believe a child has sent us information, contact us and we’ll delete it.
Changes to this policy
We may update this policy from time to time, for example if we add new tools to the Site. When we do, we’ll post the updated version on this page and change the effective date at the top.
